Privacy Policy

This policy explains what personal data WarrantyWarden collects, why, who we share it with, and the choices you have. It applies to the WarrantyWarden website (warrantywarden.com), our mobile app, and the WarrantyWarden connector for AI apps such as ChatGPT and Claude.
1. Who we are
WarrantyWarden is operated from India. For any privacy question or request, email [email protected].
2. What we collect and why
Account details. Your email address, and the first name, last name and country you enter when you sign up, or the basic profile Google shares if you sign in with Google. We use these to run your account, find support contacts for your country, time reminders, and sign support emails you ask us to send. Sign-in, including your password, is handled by our authentication provider, Supabase; our servers never receive your password.
Receipts, labels and documents you upload. Photos and PDFs of receipts, invoices, product labels and bookings. We store the file and the details extracted from it: product name, brand, model, serial number, purchase date, price, seller, warranty dates, and for bookings the provider, reference numbers, dates and amounts. We use these to build your inventory, work out warranty coverage, and find support contacts.
Things you add or change. Product corrections, tags, custom reminders, and feedback you send about wrong product information.
Support requests. When you ask us to email a brand's support team, the email includes your name, your email address, the product details, your description of the issue and, if you choose, your invoice. Brands reply to a WarrantyWarden address; we store those replies so you can read them in the app, and we notify you when one arrives.
AI assistant chats. The questions you ask the in-app assistant and its answers, and any thumbs up or down you give. We keep these to review and improve the assistant's answers.
Notifications and reminders. In-app notifications (for example, that a brand replied, with a short preview of the reply) and the warranty reminder schedule for your products. Reminders are emailed to your account email address.
Subscription and payments. Your plan, its status and dates, your monthly usage, and the payment provider's subscription and customer IDs. Payments are made through Cashfree Payments; we do not receive or store your card or bank details.
Voice AI waitlist. If you join the waitlist, we store your email address to tell you when the feature is available. We may show the total number of people on the waitlist, never who they are.
Mobile app. The app asks for access to your camera or photo library only when you choose to take or pick a photo to upload.
Technical data. Like most websites, our servers record requests (including IP address, browser type, the page requested and the time) to keep the service running and secure. Cloudflare tells us which country a visit comes from, which we use to show plan prices in your currency.
We do not sell your personal data, we do not use it for advertising, and we do not use it to train AI models.
3. AI processing
WarrantyWarden uses AI to read your uploads and answer your questions. These parts of your data are sent to Google's Gemini models through Google Cloud's Vertex AI:
- the images and PDFs you upload, so the product and purchase details can be extracted;
- your messages to the in-app assistant, earlier messages in the same conversation, and the product, warranty, booking and support details it looks up from your account to answer you;
- product descriptions, to match your product to our product catalog.
To look up product information, warranty terms and support contacts, we send search queries built from the product details (such as brand and model, not your name or email) to Serper, a web search service, and read public web pages.
AI output can be wrong. Please check important details such as warranty dates against your own documents.
4. Who we share data with
We share personal data only with the service providers that run WarrantyWarden, only as needed for the purposes above:
- Google Cloud (hosting, file storage, AI processing with Vertex AI, and server logs)
- Supabase (sign-in and our database)
- Resend (sending reminder and support emails, and receiving brand replies)
- Cashfree Payments (payments; receives your user ID, name and email when you buy a plan)
- Upstash QStash (background jobs; receives the details extracted from your uploads while a product is being looked up)
- Serper (web search queries built from product details)
- Cloudflare (network and security in front of our website)
- Transica (hosts the WarrantyWarden connector for AI apps; see section 5)
Support emails you choose to send go to the brand you pick, and that brand's own privacy policy applies to what it receives. We may also disclose data if the law requires it.
5. AI apps and connectors (ChatGPT, Claude)
You can connect WarrantyWarden to an AI app such as ChatGPT or Claude. When you connect, you sign in to your WarrantyWarden account and approve the connection. The AI app can then use the connector's tools, which return:
- public information: our home page, blog pages, our list of plans and prices, and the total number of people on the voice AI waitlist;
- your account information: your notifications (title, text, read status, date and, for brand replies, a short preview of the reply) and your subscription (plan, status, product limit, how many products you have added, and the dates your current period ends or was cancelled).
These tools only read data; they do not change anything in your account. Whatever a tool returns is sent to the AI app you are using, and from then on that app's own privacy policy and settings apply to it, including whether it is stored or used for training.
The connector is hosted by Transica. It stores your connection's sign-in tokens in encrypted form. For each tool call it records which tool ran, whether it worked, how long it took, which AI app called it and a pseudonymous session ID, but not what the tool returned, your IP address, or your sign-in tokens. These records are kept for 90 days, and daily totals for 13 months. If you choose to remember your approval, a cookie on the connector's sign-in page keeps it for up to 30 days.
To disconnect, remove WarrantyWarden from the connected apps or connectors in your AI app's settings. To also have the connection's sign-in revoked on our side, email [email protected].
6. Cookies and browser storage
We do not use advertising or analytics cookies. Your browser stores your sign-in session (set by Supabase), your light or dark theme, and your notification settings in local storage. Our pages load fonts and code libraries from Google Fonts, jsDelivr and cdnjs, and the checkout loads Cashfree's payment script; these services receive your IP address when your browser fetches them. Cloudflare may set strictly necessary security cookies.
7. How long we keep data
We keep your account data, uploads, support emails, chat history and notifications while your account is open, until you delete them or ask us to. Server logs are kept for 30 days. Cashfree keeps its own payment records under its policies and the law.
8. Your rights and choices
You can:
- access and correct your products, reminders and profile in the app, and ask us for a copy of the personal data we hold about you;
- delete individual products and bookings in the app, or delete your account and all associated data, including uploaded files, chat history, support emails and connections to AI apps, yourself in Settings (Delete Account) or by asking us by email;
- export your data: ask us and we will send it to you in a common, machine-readable format;
- withdraw consent or object to processing, and leave the voice AI waitlist.
To use any of these rights other than deleting in Settings, email [email protected] from your account's email address. We may ask you to confirm your identity. If you are not satisfied with our answer, you may complain to your local data protection authority.
9. Security
Data is encrypted in transit (HTTPS). Uploaded files are kept in private cloud storage and shown to you through links that expire. Access to your account data requires your sign-in, and our service credentials are kept in a secrets manager. No system is perfectly secure; if a breach affects your data, we will notify you and the authorities as the law requires.
10. Children
WarrantyWarden is meant for adults managing their own purchases and is not directed at children. If you believe a child has given us personal data, contact us and we will delete it.
11. International transfers
WarrantyWarden is operated from India. Our application servers and AI processing run in Google Cloud in the United States, uploaded files are stored in Google Cloud in India, and our other providers may process data in other countries. By using WarrantyWarden, your data may be processed outside your country, under the safeguards those providers offer.
12. Changes to this policy
We may update this policy. When we do, we will change the date at the top of this page.
